Title: Understanding Dispatch Workflows in the Customer Support System

Practical Notes

In our customer support system, dispatch orders can be directly linked to planned operations, allowing agronomists to see which field task the materials were issued for. This improves efficiency and streamlines the process.

If a wrong material or quantity was dispatched, the correction can be done by cancelling the order (if still in Draft) or creating a reverse entry. This ensures accuracy in the dispatch process.

Drivers and field operators can confirm dispatch via mobile, improving traceability and real-time stock visibility. This feature enhances communication and ensures that the right materials are being delivered to the right place at the right time.

For internal transfers, it is recommended to use system-generated paired dispatch/receive rather than two separate manual entries. This helps to maintain accurate inventory records and reduces the risk of errors.

FAQ and Tips – Dispatch Workflows

When does stock decrease?

Stock decreases only after confirmation. Drafts do not affect inventory, providing flexibility in the dispatch process.

Can one order include multiple materials?

Yes, each line represents one material or product, and all can be confirmed together, simplifying the dispatch process.

What if the wrong product was dispatched?

If not yet confirmed, edit or delete the draft. If already confirmed, create a reverse receive entry or a corrective order, ensuring accuracy in the dispatch process.

Mobile or Web — which to use?

Mobile is ideal for quick confirmations during loading or field operations, while the web is best for preparing larger dispatch lists, adding drivers, and reviewing history.

How to track deliveries to buyers?

Each confirmed dispatch remains visible in the buyer’s transaction history and the corresponding lot tracking overview, providing transparency and accountability.

What happens in a transfer between storages?

Stock automatically decreases in the source storage and increases in the destination, keeping quantities synchronized without double entry, ensuring accuracy and efficiency in the transfer process.
