Transfer Between Warehouses

Purpose

Transfer between Warehouses is used to record the internal movement of goods from one warehouse to another within the same organization. This process ensures that both the sending and receiving warehouses have accurate and synchronized records of the transferred quantities.

Each transfer is created as a dispatch from one warehouse and automatically generates a corresponding receive order in the destination warehouse. This maintains full traceability of materials across all storage locations.

Creating the Transfer Order

The process starts in the web application under Warehouse → Dispatch.
A new dispatch order is created and set as type Transfer between Warehouses.

The Agronomist or Warehouse operator defines:

  • The source warehouse (location from which goods are sent)
  • The destination warehouse (location to which goods will be received)
  • The items and quantities to be transferred
  • The reason or internal note for the transfer (for example, rebalancing stock or moving goods closer to a specific production site)

Once the order is created and confirmed, it becomes visible in the mobile application for the Warehouse operator to prepare and execute.

Preparing and Fulfilling the Transfer (Mobile Application)

The Warehouse operator at the source location opens the Dispatch tab in the mobile application and selects the confirmed transfer order. The operator scans or manually enters the serial and lot numbers of all items being transferred.

When all data are verified, the operator confirms the dispatch. This action reduces the stock at the source warehouse and automatically creates a linked Receive order in the destination warehouse.

Receiving the Transfer

At the destination warehouse, the receiving Warehouse operator opens the Receive tab in the mobile application and finds the automatically created Receive order linked to the transfer.

The operator verifies the delivered materials, checks serial and lot numbers, and confirms receipt. This step increases the stock at the destination warehouse.

Finalization and Reporting

Once both dispatch and receive steps are confirmed, the transfer is fully completed and recorded in the system. The Farm manager and Agronomist can review the movement in warehouse reports to ensure that all quantities match and that both warehouse records are synchronized with the ERP system.

Key Points

  • A transfer creates two linked records: one dispatch and one receive.

  • Stock is reduced at the source location and increased at the destination location.

  • Both dispatch and receive must be confirmed to complete the transfer.

  • Serial and lot numbers must be checked and recorded in both warehouses.

  • The ERP system synchronization ensures accurate and traceable internal movements.

Example

The Warehouse operator creates a Transfer between Warehouses order to move 5,000 kilograms of packed product from Warehouse A to Warehouse B. The serial numbers are scanned, and the order is confirmed in the system.

At Warehouse B, the receiving Warehouse operator confirms receipt of the same quantities. The system updates both warehouse stocks and completes the transfer, ensuring full traceability between the two locations.

Purpose
This workflow manages internal transfers between two storages of the same farm. It automatically links a Dispatch from one storage to a Receive in another, ensuring stock consistency without double entry.

Steps (Web Application)

  1. Navigate to Warehouse → Dispatch Orders → Transfer Between Warehouses.

  2. Select Source Storage (e.g., Fermaron).

  3. Choose Destination Storage (e.g., Graventa).

  4. Select Product / Lot and Quantity.

  5. Confirm the dispatch once goods leave the source.

  6. The system automatically generates a Receive entry in the destination storage.

Steps (Mobile Application)

  1. Open Dispatch Orders → Transfer Between Warehouses.

  2. Choose Source and Destination storages.

  3. Enter Product and Quantity.

  4. Confirm dispatch.

Notes

  • Internal transfers are visible in both storage histories.

  • Always verify that the correct storages are selected to avoid double counting.

Drivers or warehouse operators can confirm dispatch and receipt directly via mobile.
