Inventory Filtering and Search Functions

Purpose

Filtering and search functions help users find specific items or groups of items within the warehouse inventory. These tools make it easier to review stock availability, check quantities at specific locations, or identify items that require attention, such as those nearing depletion or stored in multiple positions.

The goal of using filters and search is to quickly access the required information without reviewing the entire inventory list.


How Filtering Works

Filters can be applied to narrow down the list of visible items on the Inventory page. Users can combine several filters at once to view only the data relevant to their task.

Common filters include:

  • Storage location (to view items at a specific warehouse or internal storage area)

  • Category (such as seeds, organic inputs, or grains)

  • Product type (material, product, or merchandise)

  • Active or archived status

  • Lot number or serial number

  • Production or expiry date

Filtered results and selected filters remain active until cleared manually. After finishing the task, users should select the “Clear Filter” option to return to the full inventory view.


Search by Keyword

The search function allows users to find items by name, ID, or any text field in the inventory list. Entering part of the item name or code automatically displays all related results.

For example, typing “sunflower” will show all lots, products, or materials containing that word in their name, regardless of location or status.


Exporting Filtered Data

Filtered or searched results can be exported as a CSV file for reporting, audit, or certification purposes. The exported file includes all visible fields, such as item name, category, quantity, location and lot number.

This function allows Farm managers and Agronomists to prepare inventory summaries, movement reports, or documentation required for organic certification.


Example

An Agronomist needs to review all organic inputs stored in the main warehouse before the start of the season. The user filters by category “Organic Inputs” and location “Main Warehouse.” The inventory list updates immediately, showing each product, its lot number, and available quantity. The filtered view is then exported to a CSV file and shared with the Farm manager for review.
